Privacy Policy

AI Wealth Lab Inc. ("we," "us," "our") operates aiwealthlab.one and provides calibration-based vocational AI income skills training in Quebec and across Canada. This Privacy Policy describes how we collect, use, disclose and safeguard personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Quebec privacy legislation.

2. Purposes of Collection

We collect personal information for identified purposes including: responding to calibration programme enquiries and specimen cohort registration requests; processing enrolment and payment; delivering training services at our Peel Street studio and through hybrid or self-paced formats; communicating schedules, checkpoint dates and programme updates; maintaining training and attendance records; improving our website and calibration curriculum; complying with legal and regulatory obligations; and fulfilling corporate training agreements.

3. Consent

We obtain meaningful consent before collecting, using or disclosing personal information except where permitted or required by law. Consent is obtained through explicit, non-pre-checked checkboxes on contact and enrolment forms. You may withdraw consent for non-essential processing by contacting our Privacy Officer, subject to legal or contractual limitations. Withdrawal of consent may affect our ability to deliver certain services.

4. Information We Collect

Depending on your interaction with us, we may collect: name, email address, telephone number, mailing address, employer or business name, job title, programme preferences, payment information processed through third-party payment processors, communication history, attendance records, specimen submission metadata, accessibility or dietary notes you voluntarily provide for in-person sessions, emergency contact information where required, and optional analytics data collected with cookie consent.

5. Use and Disclosure

Personal information is used only for the purposes identified at or before the time of collection. We do not sell personal information to third parties. We may disclose information to service providers including hosting providers, email delivery services, payment processors and professional advisors under contractual confidentiality obligations, or when required by law, court order or regulatory authority. Enrolment and completion records are retained for seven years. General enquiry records are retained for three years unless earlier deletion is requested and legally permissible.

5a. Payment Information

Payment card details are processed by third-party payment processors compliant with PCI-DSS standards. AI Wealth Lab Inc. does not store full credit card numbers on our servers. Transaction references, invoice numbers and refund records may be retained for accounting, tax compliance and dispute resolution purposes as required by Canadian law.

5b. Marketing Communications

We send programme announcements, cohort registration openings and calibration curriculum updates only with your consent. You may unsubscribe from marketing emails at any time using the link in each message or by contacting [email protected]. Transactional communications related to active enrolments, payment confirmations and schedule changes are not marketing communications and may continue as necessary for service delivery.

5c. Employee and Facilitator Data

Facilitators, contractors and administrative staff personal information is collected for employment, contractor engagement and training delivery purposes under separate internal policies compliant with Quebec employment standards and applicable privacy requirements.

6. Accuracy and Access

We endeavour to keep personal information accurate, complete and up to date. You may request access to personal information we hold about you or request correction of inaccurate information by contacting [email protected]. We respond within thirty days as required under PIPEDA, subject to permitted exceptions. We may request reasonable identity verification before releasing records.

7. Safeguards

We implement administrative, technical and physical safeguards appropriate to the sensitivity of information collected. These include HTTPS encryption for website communications, role-based access controls for enrolment systems, confidentiality agreements with staff and facilitators, preference for Canadian-hosted infrastructure, periodic security review and secure disposal of obsolete records. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

8. Cookies and Similar Technologies

9. Third-Party Links and AI Tool Providers

Our website and training materials may link to third-party websites including AI tool providers such as OpenAI, Microsoft and Anthropic. We are not responsible for the privacy practices of external sites. We encourage you to review the privacy policies of any third-party services you use during or after our programmes. Your use of ChatGPT, Copilot, Claude and similar tools is governed by each provider's terms and privacy policies.

10. Children

Our training services are designed for adults. We do not knowingly collect personal information from individuals under eighteen years of age. If we become aware that we have collected information from a minor without appropriate consent, we will take steps to delete it promptly.

11. International and Cross-Border Processing

We prefer Canadian service providers and hosting infrastructure. Where personal information may be processed or stored outside Canada, we implement contractual protections including confidentiality, security and breach notification requirements. Participants enrolling from provinces outside Quebec acknowledge that information may be processed at our Montreal headquarters and on Canadian-hosted servers with PIPEDA standards applied regardless of participant location within Canada.

12. Complaints

If you have concerns about our privacy practices, contact our Privacy Officer at [email protected] first. We will investigate and respond in good faith. If your concern is not resolved satisfactorily, you may contact the Office of the Privacy Commissioner of Canada. Quebec residents may also have recourse under applicable provincial privacy legislation where it applies to our activities.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with a revised "Last updated" date. Where practicable, we will notify enrolled participants of material changes affecting previously collected information by email and by prominent notice on aiwealthlab.one for at least thirty days before changes take effect.

14. Personal Information Banks

We maintain the following categories of records: enquiry database containing contact details, message content, subject selection and PIPEDA consent timestamps; enrolment database containing participant details, programme history, payment references, attendance and specimen checkpoint records; website analytics containing aggregated, consent-based usage data; cookie consent logs; and employment records for facilitators and staff. 15. Breach Notification

In the event of a breach of security safeguards posing a real risk of significant harm to an individual, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required under PIPEDA breach notification provisions. We maintain an internal incident response procedure and will document all breaches regardless of notification threshold.

16. Quebec Context

AI Wealth Lab Inc. is incorporated in Quebec and operates primarily from Montreal. While PIPEDA applies to our interprovincial commercial activities, we also respect Quebec's privacy expectations for organisations delivering vocational training services within the province. Quebec residents may have additional rights under applicable provincial legislation where it applies to our activities, including rights related to personal information held by private sector organisations operating in Quebec.

17. Data Minimisation

Contact forms request only fields necessary to respond effectively. Phone numbers are optional for initial enquiries but may facilitate studio visit coordination. We periodically review stored data and delete or anonymise records no longer required for identified purposes, subject to legal retention obligations for tax, employment and training records.

18. Automated Decision-Making

We do not use automated decision-making or profiling that produces legal or similarly significant effects on individuals. Enrolment decisions, capstone assessments and facilitator review outcomes involve human judgment by qualified staff.

19. Retention Schedule Summary

Enquiry records: three years from last contact. Enrolment and completion records: seven years. Financial transaction references: seven years per tax requirements. Cookie consent logs: six months. Analytics aggregates with consent: twenty-four months. Server security logs: thirty days. Video recordings of sessions where applicable: cohort duration plus ninety days unless retention required for dispute resolution.

20. Facilitator Access Controls

Only authorised facilitators and administrative staff access enrolment records on a need-to-know basis. Access credentials are individualised and not shared. Access logs are reviewed quarterly. Former staff and contractor credentials are revoked immediately upon contract termination.

21. Anonymisation for Programme Improvement

We may use anonymised, aggregated feedback from course evaluations and specimen checkpoint outcomes to improve calibration curriculum content. Anonymised data cannot reasonably identify individuals and is not subject to individual access requests under PIPEDA.

22. Your Responsibilities

Do not submit sensitive personal information unrelated to training enrolment through contact forms — including government identification numbers, health information beyond voluntary accessibility notes, or financial account numbers. Do not include third-party personal data in messages without their consent. Protect any learner portal credentials provided during programmes. Do not share facilitator-reviewed specimen materials containing other participants' information.

23. Detailed Collection Scenarios

When you submit our contact form, we collect your name, email address, optional phone number, subject selection, message body and PIPEDA consent confirmation with timestamp. When you enrol in a calibration programme, we additionally collect billing address, payment confirmation references, emergency contact where required for in-person Peel Street sessions, dietary or accessibility accommodations you voluntarily disclose, and attendance records for each chamber module. Corporate clients may provide employee rosters with business contact details under separate data processing terms documented in corporate training agreements.

24. Legal Basis for Processing

We process personal information based on consent for marketing communications and optional analytics; contractual necessity for enrolment, payment and programme delivery; and legal obligation for tax reporting, employment records and regulatory compliance. Where consent is withdrawn for non-essential processing, we continue processing only where required by law or active contractual obligations.

25. Service Provider Due Diligence

Third-party processors are assessed for privacy and security practices before engagement. Contracts include confidentiality, breach notification, data return or destruction upon termination and restrictions on use beyond specified purposes. A register of subprocessors is maintained and available on request to [email protected].

26. Physical Document Security

Printed enrolment forms or attendance sheets, if used, are stored in locked cabinets at our Peel Street office with restricted access. Obsolete paper records are destroyed annually through certified shredding or secure disposal services.

27. Privacy Impact Assessments

We conduct internal privacy reviews when launching new programmes, data collection methods, learner portal features or third-party integrations that may affect participant information. Material changes trigger policy updates and consent review where applicable.

28. Media and Research Requests

Journalists and researchers seeking aggregate training statistics receive anonymised data only. We do not disclose individual participant outcomes, income details, employment status or specimen content to third parties without explicit written consent from the individual concerned.

29. Video and Audio Recordings

Where live chamber sessions are recorded for enrolled participants' review, recordings are stored on secure Canadian servers with access limited to enrolled learners and facilitators for the cohort duration plus ninety days. Recordings are then deleted unless retention is required for dispute resolution or legal proceedings. Participants may not record sessions without written consent from AI Wealth Lab Inc. and all attendees.

30. Website Server Logs

Standard web server logs may capture IP address, browser type, referring URL, requested page and timestamp for security monitoring and troubleshooting. Logs are retained thirty days and are not linked to marketing profiles without analytics cookie consent.

31. Right to Deletion

You may request deletion of personal information not required for legal retention. We will confirm identity, assess contractual and regulatory obligations and complete deletion or explain why certain records must be retained under tax, employment or training regulations.

32. Policy Version History

Previous policy versions are archived internally. You may request the version in effect at the time of your enrolment by emailing [email protected] with your enrolment date and full name.

33. Sensitive Information

We do not intentionally collect social insurance numbers, health card numbers or full financial account details through website forms. If you inadvertently submit such information, contact us immediately at [email protected] for secure deletion from enquiry records where legally permissible.

34. Training Evaluation Data

Post-course surveys collect satisfaction ratings and optional written comments. Comments may be quoted internally in aggregate form for curriculum improvement. Named attribution in marketing materials requires separate written consent.

35. Data Portability

Upon request, we provide enrolment confirmation and completion records in PDF format. Raw database exports are not provided, but key personal records are available through access requests described in section six.

36. Definitions

"Personal information" means information about an identifiable individual as defined under PIPEDA. "We," "us" and "our" refer to AI Wealth Lab Inc. "You," "participant" and "learner" refer to website visitors, enquirers and enrolled training participants.
